5 stages, 19 steps

  1. 1. Status

    • Write a one-page summary: goal, status and what's left
    • List open tasks with owners and due dates
    • List the decisions made so far and why
    • List known risks, issues and promises made
  2. 2. Documents and access

    • Collect plans, specs, contracts and the budget in one place
    • Transfer ownership of files, tools and accounts
    • Share credentials through a password manager, not email or chat
    • Update the project's contact list
  3. 3. People

    • Introduce the new owner to the sponsor, the team and clients
    • Explain who decides what and how to escalate
    • Point out relationships that need extra care
    • Tell suppliers and partners who their new contact is
  4. 4. Transition

    • Hold handover sessions while both people are available
    • Let the new owner run a meeting with the old owner present
    • Agree the date the old owner steps back
    • Agree how the new owner can reach the old owner with questions
  5. 5. Confirm

    • Ask the new owner to confirm they have what they need
    • Tell stakeholders the handover is done
    • Check in after a few weeks for anything missed

Worked example

What it makes

  1. 1. Status

The new owner knows where the project stands.

    • Write a one-page summary: goal, status and what's left
    • List open tasks with owners and due dates
    • List the decisions made so far and why
    • List known risks, issues and promises made
  2. 2. Documents and access

Everything they need is in one place and under their name.

    • Collect plans, specs, contracts and the budget in one place
    • Transfer ownership of files, tools and accounts
    • Share credentials through a password manager, not email or chat
    • Update the project's contact list
  3. 3. People

The new owner meets the people who matter.

    • Introduce the new owner to the sponsor, the team and clients
    • Explain who decides what and how to escalate
    • Point out relationships that need extra care
    • Tell suppliers and partners who their new contact is
  4. 4. Transition

A period of overlap, then a clear switch.

    • Hold handover sessions while both people are available
    • Let the new owner run a meeting with the old owner present
    • Agree the date the old owner steps back
    • Agree how the new owner can reach the old owner with questions
  5. 5. Confirm

Both sides agree the handover is complete.

    • Ask the new owner to confirm they have what they need
    • Tell stakeholders the handover is done
    • Check in after a few weeks for anything missed

Questions

About the Project Handover Checklist

How is this different from the Project Handover Generator?

This makes the checklist from a reviewed step library. The generator builds a complete handover Room from your project material with AI.

Where do the steps come from?

From a step library written and reviewed by people, not generated per visitor. Pick the stages you need, name an owner for each and add your own steps.
