Worked example

What it makes

  1. 1. Notice confirmed

Everyone who needs to know does, and the last day is set.

    • Confirm the last working day in writing
    • Tell the manager, HR, IT and payroll the date
    • Agree when and how the team and clients will be told
    • Check remaining holiday and final pay items with payroll
  2. 2. Handover

Their work and knowledge stay with the team.

    • List their open work, recurring tasks and key contacts
    • Name who takes over each item
    • Move files from personal folders into shared spaces
    • Write down how to do anything only they know how to do
    • Introduce the new owners to clients and partners
  3. 3. Access

Access ends on the last day, not weeks later.

    • List every system, tool and shared account they use
    • Transfer ownership of documents, calendars and shared inboxes
    • Change the passwords of shared accounts they knew
    • Schedule account deactivation for the end of the last day
    • Remove them from building access, groups and mailing lists
  4. 4. Equipment

Company property comes back and is wiped safely.

    • List the equipment issued: laptop, phone, cards, keys
    • Arrange return or collection
    • Back up anything the team needs, then wipe the devices
    • Update the asset register
  5. 5. Exit

They leave on good terms and you learn something.

    • Hold an exit conversation and record the main themes
    • Send any documents they're owed, such as a final payslip
    • Remind them of the confidentiality terms they agreed to
    • Say goodbye and thank them in front of the team
    • Update the org chart, team pages and directories

Who it's for

Who uses it

  • HR teams

Give every leaver the same, complete process.

  • IT admins

Make sure access ends on the last day.

  • Managers

Keep the leaver's knowledge in the team.

Good to know

What to consider

  • General good practice, not legal advice: check notice, final pay and contract terms with HR or an adviser.
  • Add the systems and equipment specific to your company.

Questions

About the Employee Offboarding Checklist

Who should own each stage?

Usually HR owns notice and exit, the manager owns handover, and IT owns access and equipment. Name the people when you make the checklist.

Where do the steps come from?

From a step library written and reviewed by people, not generated per visitor. Pick the stages you need, name an owner for each and add your own steps.
