5 stages, 18 steps
1. Purpose
- Write the purpose and the decision or output you need
- Check whether a message or document would do instead
- Invite only the people who need to contribute or decide
- Pick a length that fits the agenda, not the calendar default
2. Agenda
- Write each item as a question to answer or a decision to make
- Put a time and an owner next to each item
- Put the most important item first
- Leave five minutes at the end to confirm actions
3. Pre-reads and invite
- Attach pre-reads and say how long they take to read
- Send the agenda at least a day before
- Put the room or video link in the invite
4. During the meeting
- Start on time and restate the purpose
- Keep to the times and park off-topic points
- Name a note-taker and record decisions and actions as you go
- Read back the actions before people leave
5. After the meeting
- Send notes with decisions and actions within a day
- Give each action an owner and a due date
- Follow up on open actions before the next meeting

Questions
About the Meeting Agenda Checklist
Does it write the agenda for me?
No. It walks you through writing a good one: items as questions, times, owners and pre-reads. Add your agenda items as your own steps if you like.
Where do the steps come from?
From a step library written and reviewed by people, not generated per visitor. Pick the stages you need, name an owner for each and add your own steps.
